This privacy notice, drafted pursuant to EU Regulation 679/2016 (GDPR) and Italian Legislative Decree 196/2003 as amended, describes how Nereidi | The Coastal Suite collects, processes and protects your personal data during the browsing of the site and at the booking stage.

2. Data collected and purposes

We only collect data strictly necessary for:

  • Managing the booking: first name, last name, email, phone, any special requests, data received via Airbnb or Booking.com.
  • Communicating with you: email and WhatsApp to respond to pre/post-stay requests.
  • Legal obligations: police guest register, tax communications, CIN regulations (Italian national identification code for accommodation facilities).
  • Site statistical analysis (only with consent): anonymised navigation data collected via Matomo and Microsoft Clarity. See the Cookie Policy for details.

3. Legal basis for processing

  • Performance of contract (art. 6.1.b GDPR): for the management of the booking.
  • Legal obligation (art. 6.1.c GDPR): for the guest register, invoicing, CIN regulations.
  • Consent (art. 6.1.a GDPR): for measurement cookies (Matomo, Microsoft Clarity).

4. Recipients and non-EU transfers

Your data may be shared with:

  • Airbnb and Booking.com: if you book through these platforms, the data is also processed under their respective privacy policies.
  • Competent authorities: for legal obligations (Police, Italian Revenue Agency, Municipality).
  • Matomo Analytics: self-hosted on our server in the European Union, no transfer outside the EU.
  • Microsoft Clarity: service provided by Microsoft Corporation. Data may be transferred to servers in the United States. The transfer is covered by the Standard Contractual Clauses (SCC) approved by the European Commission under the GDPR.

5. Data retention

  • Booking data: 10 years (Italian tax obligation).
  • Guest register data: according to police regulations.
  • Email and WhatsApp: up to 24 months after the last interaction.
  • Anonymised analytics data: 13 months (Matomo), 1 year (Clarity).

6. Your rights

Pursuant to articles 15-22 of the GDPR you have the right to:

  • Access: obtain a copy of the data we process about you.
  • Rectification: request correction of inaccurate or incomplete data.
  • Erasure ("right to be forgotten"): request deletion, except for legal obligations.
  • Restriction: request temporary restriction of processing.
  • Portability: receive your data in a structured and readable format.
  • Objection: object to processing based on legitimate interest.
  • Withdrawal of consent: withdraw consent for measurement cookies at any time (see Cookie Policy).
  • Complaint: lodge a complaint with the Italian Data Protection Authority (garanteprivacy.it).

7. Security

Your data is processed with technical and organisational measures suitable to ensure confidentiality and integrity: HTTPS connections, servers in the European Union, access restricted to the data controller. No data is used for marketing purposes without explicit consent.
